Running Dynotag across a whole business? Dynotag is a maintenance-free asset management platform — one account can manage your entire fleet of tags. Here’s how to set it up so it scales with you and survives staff changes.
There’s no practical limit to how many tags a single Dynotag account can manage. We have customers running thousands of tags from one login — equipment, inventory, fixed assets, fleet items, IT gear, and more. You can add as many as you need; there are no per-tag account fees.
Every tag is a maintenance-free Smart ID — no apps, no database software, no batteries. Your team manages everything from a modern web browser, and the asset info lives securely in the Dynotag Cloud Service.
This is the single most important decision for a business account, so we’ll say it plainly: register the account to a shared company mailbox, not an individual employee’s.
Use something like ops@mycompany.com or assets@mycompany.com — not joe@mycompany.com.
Here’s why it matters: the account, and every tag under it, is tied to the email address it was created with. If you set everything up under one person’s work email and that person later changes roles or leaves the company, you can lose access to the very tags your business depends on. A shared mailbox that your team controls means the account outlives any individual’s tenure — ownership stays with the company, and you can hand off day-to-day management without ever transferring or re-keying tags.

🗂️ Asset management tools for scale
Once an account has more than 20 tags, the My Records page automatically unlocks organizational tools built for larger collections:
- Grouping — organize tags by category, location, department, or any scheme you like.
- Filters — narrow down to exactly the tags you’re after.
- Search — jump to a tag by name or Tag ID.
- Tools menu — run group operations and export your data.
These appear on their own as your account grows — nothing to enable.
📓 Built-in logbook for every asset
Each tag can keep its own logbook — a running, time-stamped record attached right to the asset. When someone scans the tag, they can add a logbook entry on the spot: a maintenance note, an inspection sign-off, a service date, a “found in storage B” location update. The history travels with the asset, not in a separate spreadsheet someone forgets to update.
Because anyone who scans can contribute, the logbook is ideal for shared equipment, field gear, and anything that passes through many hands. You stay in control: turn the logbook on per record under Edit Info → Settings → Logbook, and enable moderation if you’d like to approve each entry before it appears.
🏷️ Asset stickers and custom options
